Buyer numbers and adding a buyer by hand

How NotBot gives each buyer a number, and how to add a buyer or reprint their label yourself.

NotBot gives every buyer in your show a number: the first buyer is 1, the next new buyer is 2, and so on. You write that number on the buyer's box (or stick their label on it), and every item they win goes in that box. This guide shows how the numbers work during a show, how to give someone a number yourself, and how to print a buyer's label again.

Before you start

  • NotBot is signed in and your printer is set up. If not, see Connect and test your printer.
  • Your print mode is Buyer Only or Every Item + Buyer. Buyer numbers matter most in these modes. See Choose which labels print.
  • A show is open in NotBot. The pictures here come from a practice show where coinsbyrita wins twice.

How NotBot numbers your buyers

The rules are short:

  • Every show starts at 1.
  • The first time someone wins in the show, NotBot gives them the next free number.
  • A buyer keeps the same number for the whole show, no matter how many times they win.
  • The next show starts over at 1.

In Buyer Only mode, NotBot prints a buyer label on each buyer's first win only. Their later wins go in the box you already labeled.

Step 1: Find the buyer number on each label

Look at Recent Labels in the NotBot panel on the right. Each tile is one label, newest at the top, with the buyer number in large print over the username.

Here coinsbyrita won first and got number 1 (marked 2 in the picture), then denimdan won and got number 2 (marked 1).

The # numbers next to the usernames in Live Bids count the bids on an item. They are not buyer numbers.

Good to know: The small star in the corner of a label marks a buyer the platform says is buying from you for the first time. The number next to the star counts those first-time buyers in the show (★ 2 is the second one). Neither is the buyer number.

Step 2: Watch what happens when a buyer wins again

When coinsbyrita wins a second item, NotBot knows them already. They keep number 1, and in Buyer Only mode no new label prints. The new tile says Skipped, repeat buyer. Tap to print.

Put the item in box 1. If you want a label for it anyway, click the tile and it prints.

Tip: Want a fresh box label to print on its own every few wins, for buyers who fill more than one box? Turn on Box label reprint in Customize › Advanced Settings › Label types. See Reprint labels.

Step 3: Find every item for one buyer

Scroll down to Auction History. Click in the search box and type the buyer number with a # in front, for example #1.

The list shows that buyer's wins, so you can check everything that goes in their box. Items whose name contains the same #1 (for example #1, #10 or #15) show up too, so check the buyer number next to each username. Typing the full username instead narrows the list to that buyer. Clear the box to see every sale again.

Add a buyer by hand

Use Add New User when someone needs a buyer number and a label but NotBot has not numbered them yet, for example a sale NotBot did not see. If the sale itself is missing, Add a sale NotBot missed is usually better, because it also records the item and price.

Step 4: Type the username

Scroll to Username Tracking, below Recent Labels. Click in the Enter username box under ADD NEW USER and type the buyer's username exactly as the platform shows it.

Step 5: Click "Add & Print"

Click the purple Add & Print button. You can also press Enter (Windows) or Return (Mac) on your keyboard.

NotBot gives the buyer the next free number and prints their label. A message in the top right corner of the window says Added user: and the username.

If the username already has a number in this show, NotBot does not make a new one. It prints a label with the number they already have.

Step 6: Check the new label

Scroll back to the top of the panel. The new label is at the top of Recent Labels: rookie_rick is buyer 3, and the label shows Printed once the printer has it.

Use Reprint Existing when a buyer label got lost, smudged, or you need one for a second box.

Step 7: Open the "Select user..." list

Scroll to Username Tracking. Under REPRINT EXISTING, click the Select user... box.

Step 8: Click the buyer

A list opens with every buyer in this show, shown as their number and username. The newest number is at the top.

Click the buyer whose label you need. Here that is #1 - coinsbyrita.

Step 9: Click "Reprint Label"

The box now shows the buyer you picked. Click Reprint Label under it.

NotBot prints the buyer's label again with the same number as before.

In Every Item + Buyer mode, Reprint Label and Add & Print print your item label design with the buyer's number on it, not the buyer label.

Step 10: Check the message

A message appears in the top right corner of the window: Label for coinsbyrita sent to printer. It goes away after a few seconds.

This label does not show up in Recent Labels. To check that it printed, look at your printer.

Tip: A faster way during a busy show: click any label tile in Recent Labels to print that exact label again.

If something looks different

A buyer who already had a number got a new one

NotBot matches buyers by username, letter for letter, and in Add New User capital letters count too (CoinsByRita and coinsbyrita are two buyers). If the username was typed differently when you added them by hand (a typo, a different name, or different capital letters), NotBot treats it as a new buyer. When you add a buyer or a missed sale, copy the username exactly as the platform shows it.

The numbers started over at 1

Each show has its own numbers, so a new show always starts at 1. If it happened in the middle of a show, NotBot is treating what it sees as a new show. Check the show title at the top of the NotBot panel: numbers carry on only within the same show.

No label printed when a buyer won their second item

That is how Buyer Only mode works: one label per buyer per show. Click the Skipped, repeat buyer tile to print it anyway. To get a label for every win, switch to Every Item + Buyer (see Choose which labels print).

I can't find Username Tracking

It only shows while a show is open in NotBot. Open your show in the NotBot browser, then scroll down the panel on the right. It sits between Recent Labels and Auction History.

The Reprint Label button is faded and does nothing

Pick a buyer in the Select user... list first. The button stays faded until a buyer is chosen.

Nothing happens when I click Add & Print

The username box is empty. Type a username, then click Add & Print again.
