Add a sale NotBot missed

When a win never showed up in NotBot, add it by hand so the right label prints with the right buyer number.

Once in a while a sale never reaches NotBot, most often because the internet connection dropped for a moment right as the auction ended. No label prints for it, and the sale is missing from Auction History. You can add that sale yourself in about 30 seconds, and NotBot prints its label as if it had caught it. The pictures in this guide come from a practice show.

Before you start

  • NotBot is open and showing the show you are running. The panel on the right says LIVE STREAM with your show title under it.
  • You know three things about the missing sale: the item name, the winner's username, and the price. Look them up in your platform's seller dashboard, where your sold items are listed.
  • Your print mode is set the way you want. If you are not sure, see Choose which labels print.

Find the missing sale

Step 1: Look for a gap in the item numbers

Scroll down the NotBot panel on the right to Auction History. It lists every sale NotBot caught in this show, newest at the top.

Look at the number at the end of each item name. Most platforms number the items in a show in order. In this picture the newest sale ends in #4 (1) and the one below it ends in #2 (2). Item #3 is missing between them, so that is the sale NotBot did not catch.

Good to know: The gray Sale # tag does not help here: it counts the sales NotBot has recorded, so it never has a gap. The small #3 and #2 tags next to the usernames are buyer numbers, which count buyers, not items.

Add the sale

Step 2: Click "+ Add missing auction"

At the top of Auction History, click the + Add missing auction button.

Step 3: Type the item name

Click in the Item Name box and type the name of the item that sold. Use the same name the platform shows, so it is easy to match later.

Step 4: Type the winner's username

Click in the Winner Username box and type the winner's username exactly as the platform shows it. You can leave out the @.

If this buyer already won something earlier in the show, a list drops down under the box as you type. Click their name in the list so the sale goes to the same buyer (the last part of this guide shows how).

Step 5: Type the price

Click in the Sale Price ($) box and type what the item sold for, for example 48 for $48.00.

The price is optional. If you leave it empty, the sale is saved at $0.00. Adding it keeps your show totals and reports right.

Step 6: Click "Add Auction + Print Label"

Check the three boxes one more time, then click the purple Add Auction + Print Label button.

The window closes, the sale is saved to the show, and NotBot prints its label the way your print mode says. Changed your mind? Click Cancel and nothing is saved.

Step 7: Check the label in Recent Labels

Scroll back to the top of the NotBot panel. The new label is at the top of Recent Labels, with Printed under it once the printer has it.

This buyer had not won anything else in the show, so NotBot gave them the next buyer number, 4 (in Every Item mode there are no buyer numbers). Buyer numbers go in the order NotBot learns about each buyer, so a buyer you add late gets the next free number, not the number they would have had.

The small star on the label below it marks a buyer the platform says is buying from you for the first time. A sale you add by hand never gets the star, because that news only comes from the platform.

What prints depends on your print mode:

  • Buyer Only: a buyer label, but only if this is the buyer's first win in the show. A box label reprint or a bonus label still prints when one is due (you turn those on in Customize › Advanced Settings › Label types).
  • Every Item: an item label.
  • Every Item + Buyer: an item label, plus a buyer label if this is the buyer's first win and Box label for new buyers is on (in the ⚙️ Settings panel it is called Print box label for new buyers).

Step 8: Find the sale in Auction History

Scroll down to Auction History. The sale you added is at the top of the list with the winner's username and buyer number.

It shows a small box picture instead of a photo of the show, because NotBot did not see this sale happen. If the label needs printing again later, click Print on this sale.

When the winner already has a buyer number

If the missed sale went to someone who already won earlier in the show, pick them from the list so the sale lands on their existing buyer number instead of creating a new one.

Step 9: Start typing the username

Click + Add missing auction again and type the item name as before. Then click in Winner Username and type the first few letters of the buyer's name.

Step 10: Click the buyer in the list

Click the buyer's name in the list. The full username fills in, and under the box NotBot shows Existing buyer with their number, here #1.

Type the price if you have it, then click Add Auction + Print Label.

Step 11: Check what printed

The sale is added to buyer #1. In Buyer Only mode, a buyer who already has a number already has their label on their box, so NotBot does not print another one. Recent Labels shows it as Skipped, repeat buyer. Tap to print.

Need a label for this sale anyway? Click that tile and it prints. In Every Item + Buyer mode, the item label prints right away with the buyer's number on it. In Every Item mode, the item label prints (that mode uses no buyer numbers).

If something looks different

I don't see the "+ Add missing auction" button

The button is only on the Auction History tab, so click Auction History if Giveaway History or Purchases is selected. It also needs a show open in NotBot: if the top of the panel says No Active Stream, open your show in the NotBot browser first. The sale is added to the show named at the top of the panel.

The window says "Item name is required" or "Winner username is required"

One of the first two boxes is empty. Fill in both, then click Add Auction + Print Label again.

The window will not take my price

A small message pops up under Sale Price ($), or the window says Price must be a valid non-negative number. The price has a minus sign in front of it or more than two numbers after the point. Click in Sale Price ($), delete what is there, and type only the number, like 48 or 48.50. You can also leave the box empty.

I added the sale but no label printed

Look at the newest tile in Recent Labels. Skipped, repeat buyer means the buyer already has a number and you are in Buyer Only mode, so click the tile to print it. Skipped. Tap to print means the auto-print switch at the top of the NotBot panel (next to the printer picture) is off; turn it on so it is purple, then click the tile. The buyer got a new number, but they already had one

NotBot matches buyers by username, letter for letter. The username was typed differently from the first time (for example a typo, or a different name), so NotBot treated it as a new buyer. Add Missing Auction also saves every username in small letters, so a buyer whose username has capital letters on the platform can get a new number even when you pick them from the list. Put the item in the buyer's real box: type their username in the Auction History search box to see their number. Next time, pick the buyer from the list that drops down while you type, so a typo cannot slip in.

Several sales in a row are missing

NotBot most likely lost the show connection for a while. Add each missing sale the same way, oldest first, and see When the show connection drops to keep it from happening again.
